How to Set Up Class Groups #

1. Open the Class Groups setup area 0:00

  • Go to the Setup Wizard.
  • Navigate to Step 6: Class Groups.
  • Understand the structure:
    • Classes are the main category (for example, Preschool Gymnastics or Beginner Gymnastics).
    • Groups sit underneath each class (for example, a specific day/time session).

2. Create a new group under a class 0:23

  • Create a new group and give it a clear name, such as Monday at 4pm.
  • Choose the payment structure for the group.
    • In this example, select Recurring Subscription.
    • Other available options mentioned are Terms, Recurring Pay As You Go, and Multi Events.

3. Add optional class add-ons 0:42

  • Use class add-ons for extras sold alongside the group.
  • Examples include:
    • T-shirt
    • Leotard
  • These can be added to your shop so parents can purchase them when booking the group.

4. Set capacity and gender limits 1:03

  • Enter the capacity for the group.
  • If needed, split capacity by gender.
    • Example: 5 spaces for boys and 5 spaces for girls.
  • This helps control how many bookings are allowed in the group.

5. Configure availability and booking rules 1:23

  • Mark the group as active so it can be used.
  • Choose whether the group is public or private.
    • In this example, keep it public so parents can book directly.
  • Set age restrictions:
    • Age from / to
    • Or date of birth from / to
  • If a user does not meet the requirements, they will not be able to book on the front end.
  • Optional booking controls:
    • Require users to book via the waiting list first.
    • Limit how many weeks in advance someone can book.

6. Assign the group to a class and add details 2:06

  • Select which class the group belongs under.
    • Example: Freestyle Gymnastics.
  • Upload an image for the group.
    • You can also set it as the default image for all groups under that class.
  • Add a short description to share important information with parents.

7. Set trial options and save 2:31

  • Indicate whether the group offers trials.
  • If trials are available, enter the trial amount.
    • Enter 0 if trials are free.
  • Save the group.
  • After saving, the structure will show:
    • Class: Freestyle Gymnastics
    • Group: Monday at 4pm

    • Create groups underneath each class
