How to Set Up a Term Class, Group, and Booking Options #
1. Create the term class 0:00
- Go to Settings Hub → Add and Edit Classes.
- Click Add a New Class in the top-right corner.
- Enter the class details:
- Class name: Preschool Gymnastics
- Icon: Child Reaching
- Short description: Fun Gym
- Long description: Loads of Fun Gym
- Choose the category: Gymnastics.
- Select the award syllabus / starting award for preschoolers.
- Set the class to Active and Public so it can be booked by the public.
- Enable the option to automatically remove students from other waiting lists once they book into this class.
- Add notes such as: Parents must stay for this class.
- Save the class.
2. Add a group for the class 1:38
- Open the class and add a group.
- Use a simple group name, such as Monday at 9am.
- Select the term for this group, e.g. June term.
- Set the term dates for the relevant month or school calendar period.
3. Configure group settings 2:09
- Add any class add-ons such as t-shirts or uniform.
- Mark them as mandatory if every child must purchase them.
- Set the capacity for the group.
- Example: 10 spaces total.
- Optionally split by gender, such as 5 boy spaces and 5 girl spaces.
- Confirm the group is:
- Active
- Open
- Public
- Set the age range for the class.
- Example: 3 to 5 years old.
- Or use date of birth from/to if your club works that way.
- Decide whether bookings should go straight into the class or into a waiting list first.
- In this example, choose No so parents can book directly.
- Set the booking window.
- Example: allow bookings 4 weeks ahead.
- Confirm the class is placed under Preschool Gymnastics.
- Upload a default image for the group.
- Add a short description, such as Monday Preschool.
4. Set trial options 3:56
- Decide whether the class offers trials.
- If trials are allowed, set the trial cost.
- Example: £0 for a free trial.
5. Add the session time and pricing 4:05
- Open the group you created, such as Monday at 9.
- Add the session details:
- Day: Monday
- Time: 9:00am
- Duration: 45 minutes
- Location: Lowestoft
- Session price: £10 per session
- Leave extra orders off if none are needed.
- Confirm the term pricing applies across the selected date range.
6. Add a separate subscription if needed 4:46
- Use the subscription area for separate annual fees, such as:
- Insurance
- British Gymnastics membership
- Make sure this is not treated as the class fee itself.
- Example subscription name: Gymnastics Membership.
7. Review the class on the public booking page 5:22
- Go back to the homepage and open Preschool Gymnastics.
- Check that the term displays correctly:
- Start and end dates
- Time and location
- Available sessions
- Click Book Now to test the booking flow.
- Because trials were enabled, parents can:
- Book a trial session, or
- Switch to join the full term and pay for the whole term instead.
