How to Set a Student’s Affiliation Status and Send the Notification Email #

1. Review the affiliation email content 0:00

  • Open the set affiliation email to review what the recipient will see.
  • The email includes:
    • First name
    • Last name
    • Student affiliation status
  • This message can be customized to suit your workflow.
  • It is especially useful for external governing bodies that need to know whether a student has been affiliated or not.

2. Open the class and select the student 0:31

  • Go to Classes.
  • Select the relevant class.
  • Click on the user/student you want to update.

3. Set the student’s affiliation status 0:31

  • From the student’s options, choose Set affiliation.
  • Mark the student as either:
    • Affiliated
    • Not affiliated

4. Choose whether to notify the user by email 0:45

  • Use the notification option to decide whether the user should be emailed.
  • If enabled, the system will send the affiliation update email.
  • Save the changes after selecting the status and notification preference.

5. Confirm the update was applied 0:45

  • After saving, verify the status change in the class list.
  • You should see a tick under the relevant column, confirming the affiliation update was recorded.

  • Open the recipient’s email inbox.
  • Confirm that the email was sent successfully.
  • The message should indicate that the parent has been updated and that their child is now affiliated.
