How to Edit and Trigger the Cancellation Confirmation Email #

1. Review the default cancellation confirmation email 0:00

  • Open the cancellation confirmation email template.
  • Notice the default content is very basic:
    • Greeting: Dear Parent
    • Parent name fields
    • A simple cancellation confirmation message
    • A few basic details listed underneath
  • This template can be customized with any wording you want.

2. Customize the email message 0:10

  • Edit the email copy to match your preferred tone and wording.
  • Example customization:
    • “This email is to confirm that the cancellation has been processed and completed.”
  • You can make the message as detailed or as simple as needed for your organization.

3. Go to the cancellations area to process the request 0:31

  • The email is triggered only after a cancellation is approved in the cancellations area.
  • Open the Pending cancellations list.
  • Find the cancellation request that is waiting for approval.
  • This is the step where you decide whether the cancellation should go through.

4. Approve the cancellation and choose the last class date 0:49

  • Click the tick/approve button on the pending cancellation.
  • Select the child’s last class date.
  • In the example, the last session is set to today.
  • Confirm the cancellation details to continue.

5. Remove the subscription and confirm the cancellation 1:05

  • Remove the relevant subscription, such as the recreational gymnastics subscription.
  • Confirm the action so the child is removed from the group/class.
  • This also cancels the subscription tied to that child.
  • Once this process is completed, the confirmation email is triggered automatically.

6. Verify the confirmation email was sent 1:16

  • Check the parent’s inbox for the cancellation confirmation email.
  • The email should now reflect the template you edited.
  • Since the template is basic, you can continue refining the wording to better fit your communication style.
