How to Set Up a Subscription-Style Class #
1. Create a new class 0:00
- Go to Settings Hub → Add and Edit Classes.
- Click Add New Class.
- Enter the class name, e.g. Intermediate Gymnastics.
- Choose a class icon (example used: medal).
- Add a short description and a longer description.
- Select the class category (example: Gymnastics).
- Choose the award syllabus / starting badge level if applicable.
2. Set the class visibility and behavior 1:22
- Mark the class as Active so it can be booked.
- Choose Public or Private:
- Public = visible to parents/customers.
- Private = hidden from public booking.
- Enable Remove from other waiting lists if joining this class should automatically remove a child from other related waiting lists.
- Add any parent notes, such as Bring chalk.
3. Add a class group 2:33
- Click to add a class group under the class.
- Give the group a name, such as Monday at 4pm.
- For recreational classes, naming by day and time is common.
- Set the payment structure to Recurring Subscription.
- Add any class add-ons if needed (for example, t-shirts or shop items).
- Set the capacity for the group.
- Optionally split capacity by categories such as boys/girls.
- Decide whether add-ons are mandatory or optional.
4. Configure group access and booking rules 3:41
- Set the group to Active.
- Choose whether the group is Public or Private.
- Set age restrictions using either:
- Age range, or
- Date of birth from/to.
- Decide whether the group should go straight to the waiting list.
- Upload a group image.
- Choose whether that image should be the default image for all groups under the class.
- Add a group description.
- Turn on trials if you offer them, and enter the trial price (example used: £0 for free trials).
5. Add the training session(s) for the group 5:15
- After creating the group, add the actual training time/session.
- Enter the day and time, e.g. Monday at 4.
- Set the session length, e.g. 1 hour.
- Select the location.
- Mark the session as Active.
- Save the session so it attaches to the group.
- If the group attends multiple times per week, add additional sessions to the same group instead of creating a new one.
6. Attach subscription plans to the class/group 6:18
- Click the plus button to add a subscription.
- Select the relevant class/group (example: Intermediates).
- Choose the subscription type based on how you want to bill families.
7. Example: Pro rata class subscription 6:18
- Choose Pro Rata Payment.
- Set the next payment date.
- Mark Is this a class subscription? as Yes if it pays for the actual class sessions.
- Enter how many weeks the class runs per year (example: 47 weeks).
- Add a description such as 47 sessions over 12 months.
- Save to create the monthly subscription.
8. Example: Full subscription payment for a non-class fee 7:20
- Choose Full Subscription Payment for something like insurance or membership.
- Example: charge £30 upfront, then renew annually.
- Set Is this a class subscription? to No if it is not paying for the class sessions themselves.
- Add a clear description such as Membership payment.
- Save the subscription.
9. Example: No upfront payment subscription 8:09
- Use No Upfront Payment when you want billing to start later.
- Example: an insurance payment that begins on 1st October.
- Set Is this a class subscription? to No if it is not for class sessions.
- The customer will not be charged until the chosen start date, then billing repeats annually.
- This example was shown but not saved.
10. Review the finished setup 8:50
- Return to the home/class view.
- Confirm the class and group are listed correctly.
- Check that the session times appear in the group.
- Review the subscription descriptions shown alongside the class.
- This confirms the subscription-style class has been set up successfully.
